Choose your exit before moving
Termini has entrances on different sides: Piazza dei Cinquecento, Via Marsala and Via Giolitti are distinct landmarks, not interchangeable names for the same place. Simply saying that you are outside the station can leave two people several minutes apart. Before arrival, ask for a precise landmark and check that it works for a vehicle pickup. The actual meeting point depends on road access and the instructions in your confirmation.
After leaving the train, follow station signs and then the agreed directions. If you have already taken a different exit, stop somewhere recognisable and explain where you are. Continually switching sides makes meeting more difficult. A map pin helps, but add the name of something visible, particularly in covered passages or where the signal does not clearly identify the street level.
A platform number is not a car pickup point. Between stepping off the train and meeting your driver, you must collect your bags, walk along the platform and reach an exit. Hotel, airport or another train: three different plans
For a nearby hotel, check the actual entrance and the walking route with suitcases. An address described as being in the Termini area may be on the other side of the station. For accommodation further away, compare metro, bus, taxi and a booked transfer over the complete route, including changes and the final walk. The shortest route on a map does not necessarily have the fewest stairs.
If you are continuing to Fiumicino, check train times for your exact travel date and compare them with the arrival time required by your airline. If you are changing trains within Termini, check the station on the second ticket before booking a car. Changing platforms and changing stations are different needs. If your next train leaves from Tiburtina, allow for leaving Termini, travelling across the city and reaching the new platform. Choose a connection that does not depend on every stage running exactly on time.
Prepare your pickup after arrival
Send the date, train number and scheduled arrival time, together with a contact number that works in Italy. If you will not have continuous internet access, save the meeting instructions before departure. For a group, appoint one contact person: several messages naming different exits create confusion. Gather everyone together before announcing that you are ready, and check that no luggage remains in the carriage.
If your train is delayed or you change services, contact the booked operator as soon as you know the revised plan. Do not assume that waiting conditions for flights also apply automatically to station pickups. Ask which conditions cover your rail transfer. If the delay threatens a later connection, explain the latest time by which you need to reach your next destination.
Passengers needing railway assistance should arrange it with RFI using the published procedures. A driver waiting outside does not replace help at the platform. Leave from Termini with time to spare
For departure, work backwards from your train time and allow time to orient yourself, reach the platform and stow your luggage. The moment your car reaches the station is not the moment you board your carriage. If you must collect stored bags or make a purchase, add that stop before setting the pickup time. Everyone should be ready to leave the accommodation at the agreed time.
The day before, check the passenger name, station, date and ticket conditions. On the travel day, use departure boards and operator information for the actual platform, which can change. Do not promise the group a platform number remembered from an earlier journey. With children or many bags, allow a wider margin and divide tasks: one person checks the train while another checks the luggage.

The details needed for a tailored transfer
If you choose a private transfer, provide the date, full addresses, number of passengers and all your luggage. Add the time by which you must reach your destination and any planned stops, making clear whether you need a simple transfer or a vehicle to remain available during a visit. A one-way journey does not automatically include the return trip or waiting time for the driver. If your plans change, report the change before relying on an earlier quotation: a different route or duration may need to be checked again. For several pickup addresses, list them in the intended order and make sure every traveller knows their own meeting time.
Describe special requirements in concrete terms: room for a pushchair, child seats, the dimensions of a mobility aid or several collection points. The number of passenger seats alone does not establish luggage capacity. Request written details of the vehicle, meeting points, included services and applicable conditions. Sending the form is a request for availability and a quotation; a booking exists only after explicit confirmation. Keep the contact details from that confirmation with your travel plan, accessible even without a connection. When travelling as a group, share the confirmed instructions with everyone and nominate one person to communicate changes.
