VIP, events and weddings: when the time will not move

A wedding, a ceremony, a gala evening and a conference have one thing in common: a time that cannot be moved. On days like those transport is part of the programme, and it is built backwards from the hour that matters.

The days we organise

Weddings and ceremonies

Moving the couple, the witnesses and the family between home, the ceremony and the reception, with the waiting times built into the schedule and several vehicles where they are needed.

Guests arriving from elsewhere

Airport arrivals are gathered into one picture, with each group's flight numbers, and coordinated with the transfers to the hotel.

Evenings and events in the city

Opening nights, gala evenings, formal dinners: the meeting point for the way back is agreed in advance, at some distance from the main exit.

Conferences and formal days

Several journeys in the same day, moving speakers and guests between venue, hotel and dinner on a single schedule.

How the city changes on the days of a major event — temporary closures, altered traffic, meeting points that actually work — is set out at length in the guide to Rome for events.

The schedule: what to know in advance

When there is more than one journey you do not book one ride at a time: you describe a sequence.

The restricted traffic zones

Many churches, venues and reception sites sit inside areas with controlled access. Giving us the addresses in advance means the workable stopping points can be identified: how the zones are organised is explained in the guide to Rome's restricted traffic zone.

Several vehicles in the same day

Additional journeys beyond the first go in the same request, each with its own date and time. An intermediate stop within a single ride is a different matter — an address to call at before the destination — which is stated in the request and affects the quote. How the total is put together is explained on the fares page.

Send us the schedule as it stands, even if it is incomplete: you will have vehicles, timings and price.

Which vehicles we use

For the couple and for guests of honour the Business saloon (Luxury in the request form) or the Executive are used, the latter always on request. For family, witnesses and groups of guests the Van seats up to eight; above that, the journey runs as a convoy of several vehicles on the same timings.

Formal dress, floral arrangements and equipment to be carried go in the request as luggage does: they take up space and can change the vehicle category. Seats and capacity are on the fares page.

What we provide is the transport: vehicle, driver and the organisation of the timings. Staging, photographers, flowers and service staff remain with whoever is organising the event.

Frequently asked questions about events and weddings

How far ahead should a wedding be booked?

As early as possible, for two reasons. The first is availability: in the ceremony seasons demand concentrates on the same days and the same hours. The second is that a schedule set up early can be adjusted calmly when the programme changes.

We need several vehicles: how do we request them?

By putting the full schedule and the number of people for each journey in the same request, because it changes through the day. Additional journeys are given together, each with its date and time, and the number of vehicles needed is stated in the quote.

Does the driver wait during the ceremony?

Yes, where the wait is in the schedule: that is why we ask for the times of every stop and the margin you want between them. A wait agreed in advance is part of the quote; one decided on the spot depends on the vehicle's later commitments.

Can you pull up outside a church or a venue in the centre?

It depends on the address and on the access rules in force that day, which on event days can be changed. With the addresses in advance we identify the nearest workable stopping point.

How is the way back organised at the end of an event with a lot of people?

By agreeing a meeting point in advance, ideally at some distance from the main exit. Looking for a ride at the moment when everyone leaves at once is the worst situation: a point fixed in advance, with the name of a street or a recognisable landmark, cuts the wait considerably.
